Intranet Steering Group Minutes, May 24, 2005

In attendance: Loretta Barker, Suzanne Beckett, Debbie Carter, Ramona Holmes (recorder), Karen Hopkins, Marie Irwin, Brenda McClurkin, Sue Sappington, Gerald Saxon (Chair)

1. Discussion of budget issues relating to development of the intranet:

• Would it be better to spend the money on the server or spend dollars on training for IT personnel on Linux? How does this impact IT’s focus? External site will cost about $2K (Linux). Linux expertise may pay off in the long run. E.g., Previous outside grant request for SPCO was cited as too expensive due to server space.
• Irwin will provide pricing for search appliance.
• 20 hours of student help is an estimate at this time. This will require non-work study for the fall and spring semester. Action: Irwin will send Saxon an estimated cost for student.
• IM: use campus wide one (may be wait listed until next year)
• Bulletin board application software is fairly inexpensive. Irwin will send estimate to Saxon.
• Interface for updating documents on the server, calendaring software, Sharepoint or something similar) Action: Irwin will check on pricing options and send to Saxon.

2. Creating a timeline:

What order will these things be brought up?

We will make a recommendation on the appointments to the Core Production & Design group members. This group will determines what subgroups are needed and recruits the appropriate people for these groups.

We need people to be enthusiastic about this. Interactivity or community may be the first thing we need to bring up since it scored so highly on the questionnaire.

Core Production & Design group will address the look and feel and navigation. (Create good organizational categories.) This will go to the staff for questions.

Program Areas will need to create a list of sites that are necessary to workflow of that area.
