Transition Team Status Report

Date: December 14, 2000

The initial meeting of the Transition Team was held on December 14th.

1. Tom solicited initial reactions to the transition. Participants noted their concerns and posed questions concerning the reporting relationships.

Tom stated that the coordinators will be responsible for deciding what functions are involved within their "departments." We want a sense of joint ownership in this process, which includes staff and coordinators working together.

2. What do we want to build? Three things each participant would like to see happen as a result of this process?

Some suggestions were noted as:

· Collegiality

· Clear job descriptions

· Improved user service

· Communication

· Foster a sense of ownership of this process for all employees.

· Develop a useful role for every staff member.

· Place a strong focus on staff development.

· Build a safe trustful environment

· Organizational culture that embraces change.

3. How will this group work to institute the proposed changes?

Weekly meetings will be conducted. Some will replace the old Library Management Council meetings and others will fall on different dates. The transition team schedule may be accessed at: http://libraries.uta.edu/planning/transition timeline.html

A weekly progress report will be posted on the library planning web page.

4. What do we need to do at this point?

a) Decide the fate of the positions that are currently open within the library.

b) Decide how Special Collections and the branches will become involved in this process?

c) Develop new service models and better define the units. Specifically have Information Services,  Information Resources, and Information Literacy coordinators meet to discuss how their program areas overlap.

d) Decide how to move staff to the new organizational structure.

e) Have each coordinator present to the group an explanation of the functions that they envision they will be responsible for overseeing. These documents will be shared with the group at the next meeting.
