Group Study Room Policy
UTA Libraries’ group study rooms provide a place for our UTA Community to engage in collaborative work and study.
These rooms are not intended for individual study, socializing, or having a private place to take a nap. Staff may ask group study room users to leave if the room is being used for anything other than its intended purpose.
Single users in a group study room may be asked to vacate the room. Priority will be given to groups.
Your cooperation and courtesy are appreciated. If you are unable to resolve a dispute over the use of a room, please seek staff assistance at any Service Desk.
The Libraries provide two types of Group Study Rooms:
- Reservable (reserve now)
- Non-Reservable (first come-first served; no reservation required)
Booking & Eligibility
Who Can Reserve: Current UTA students, faculty, and staff with a valid NetID/UTA email.
Booking Window: Reservations can be made up to 14 days in advance.
Time Limits: Rooms can be booked in 30-minute increments, up to a maximum of 3 hours per person, per day.
Guidelines
Rooms and equipment are limited. Please be collegial and DO NOT attempt to bypass daily limits by using different group members' logins. Staff reserves the right to re-allocate rooms to prevent monopolization.
If you are using a room without a booking, you must vacate it if a group arrives with a valid email reservation confirmation.
When You Arrive
Check In: Once you arrive, click the check-in link and enter the confirmation code sent to your email.
Room Access: Rooms remain unlocked, so no physical key is required.
Need Assistance? If someone else is in your reserved space and you do not feel comfortable asking them to leave, please call 817-272-3395 so that staff can assist you.
Cancellations & Confirmations
If your plans change, please be considerate of your peers and cancel as soon as possible by clicking the Cancel Booking link in your email or by calling:

If you are more than 15 minutes late for your reservation, another group may take your place.
Behavior
All group study room users must conform to the University’s policies for personal conduct: Visitor Conduct Policy.
Damage to equipment in the rooms will result in the loss of the ability to reserve and/or occupy any of these rooms.
Noise levels from any conversations and/or equipment must not disturb others.
All group study room users are expected to be courteous and leave the room ready for the next group.
Unattended personal property may not be used to “hold” a room by any individual or group and may be removed by Libraries’ staff to allow others to use the space.
Privacy
Staff reserves the right to enter any group study room at any time.
Any obstruction to the windows is prohibited.
Personal Property
The University and its staff are not responsible for unattended, lost, stolen, or damaged personal items. If you believe your possessions were stolen, contact the UTA Police Department at: 817-272-3381.
